Why 5S in a GCC Matters

A Global Capability Center isn’t just a cost center — it’s a delivery engine. If your team spends time hunting for templates, cleaning up messy repos, or untangling duplicate access rights, you’re leaking capacity. 5S isn’t a cleaning checklist. It’s a system for making work visible, predictable, and frictionless.

Sort: Kill the Noise

Start by removing what doesn’t belong.

  • Physical: Archive outdated hardware, remove duplicate monitors, and retire unused training materials.
  • Digital: Delete orphaned Jira projects, archive deprecated Confluence pages, and revoke stale SSO permissions.

Rule of thumb: If it hasn’t been used in 90 days, it’s clutter. If it’s not critical to delivery, it’s debt.

Set in Order: Make It Obvious

Place items where they belong — and make it impossible to put them back wrong.

  • Physical: Label cables, designate charging stations, and create a single “drop zone” for shared devices.
  • Digital: Enforce folder structures in shared drives, use Confluence templates for standard docs, and pin essential dashboards to the home page.

Labeling isn’t optional. It’s the first line of defense against chaos.

Shine: See the Problems

Cleanliness exposes defects. A cluttered desk hides broken tools. A messy repo hides broken code.

  • Wipe down workstations daily. It’s not about sterility — it’s about clarity.
  • Run weekly repo audits. Flag unused libraries, deprecated APIs, and duplicate scripts.
  • Review access logs monthly. Revoke dormant accounts and rotate credentials.

Shine doesn’t mean perfect. It means visible. You can’t fix what you can’t see.

Standardize: Make It Repeatable

Consistency prevents drift. Without standards, 5S collapses back into chaos.

  • Physical: Define a “clean desk” policy. Require all shared equipment to be logged and returned to labeled zones.
  • Digital: Mandate naming conventions, require PR descriptions, and enforce branch protection rules.

Use checklists. Automate where possible. Tie compliance to onboarding and performance reviews.

Sustain: Keep It Alive

The hardest part. Without reinforcement, 5S fades.

  • Assign “5S champions” per pod. Rotate monthly.
  • Track metrics: average time to find tools, number of duplicate assets, permission audit findings.
  • Celebrate wins. Publicly recognize teams that reduce waste or improve access hygiene.

Embed 5S into rituals: stand-ups, retrospectives, and quarterly reviews. Make it part of the job, not an add-on.

  1. Pick one workspace (physical or digital).
  2. Sort out 20% of clutter. Label the rest.
  3. Assign an owner. Measure time-to-find next week.

Repeat. Scale. Repeat.
